What we collect, who gets it, and how to stop it

Written to be read rather than to be defensible. If anything here is unclear, email us and we will explain it.

Collection

What we ask for, and what we deliberately do not

What we collect

  • The municipality care is needed in.
  • Your relationship to the person needing care.
  • The categories of help needed and roughly how many hours.
  • Whether public funding is already in place.
  • When care needs to start.
  • Your name, email and phone number, and anything you choose to add in the notes field.
  • How the site is used: pages visited, what is clicked, and how far through the form people get. We use PostHog for this. It never receives the name, email, phone or notes you type.

What we do not ask for

  • A diagnosis, medical history or health records.
  • A health card number or any government identifier.
  • Financial details or payment information.
  • The care recipient's contact details. We contact you, not them.

Please do not put health information in the notes field. Agencies will ask what they need once you are speaking to them, in a setting built for it.

Consent

What you are agreeing to, and for how long

Canada's anti-spam legislation requires your express consent before we or an agency contact you commercially, and it requires us to record what you agreed to. This is the exact wording on the form:

I agree that Hearth and the care providers it introduces me to, which may include home care agencies and retirement homes, may contact me by phone and email about this request. I can withdraw my consent at any time.
  • We store the wording, the timestamp and the fact of consent alongside your request.
  • Your details go only to the providers matched to that specific request, never to a broader list, and never sold.
  • You can withdraw consent at any time by replying to any message or emailing hello@example.com. We act on it immediately and tell the agencies we passed you to.
  • If you make an enquiry without giving express consent, we do not pass your details on at all.

Your rights

Access, correction and complaints

Under PIPEDA you can ask what personal information we hold about you, ask us to correct it, and ask us to delete it. Email hello@example.com and we will respond within thirty days. If you are not satisfied with how we handled it, you can complain to the Office of the Privacy Commissioner of Canada.

Once an agency has your details, their own privacy policy governs what they do with them. Ask them for it. A good agency will have one ready.
